Cold Patch Tenders

The tender is for the appointment of a service provider for the supply, delivery, and offloading of road and stormwater material for 24 months. Bids must be submitted by March 23, 2026, at 12:00. The evaluation will be based on financial offer, preferences, and quality functionality. The preferential procurement policy framework act, ****, applies. Bidders must be registered on the central supplier database (CSD). The council reserves the right to not accept the lowest bid or any bid. Bids must be completed in black ink and valid for 90 days. The 80/20 point system will be used.

Quotations are requested for the supply and delivery of cold pothole mix for Bergrivier Municipality from the date of appointment until June 30, 2026. Bids must be submitted in sealed envelopes and deposited in the tender box at the municipal offices before 12:00 on November 4, 2025. Bidders must be registered on the Central Supplier Database (CSD). Prices must include VAT. A sample of the pothole mix and a grading certificate must be submitted with the quotation. The 80/20 preference point system will be applicable. Prices quoted must be valid for 120 days after the closing date. Penalties for late delivery are R1,000 per calendar day.

Company proof of operating address matching with CSD address, proof of residence for the company office where it operates, lease agreement accompanied with municipal utility bill no older than 3 months, letter from Inkosi/Councillor that is accompanied by an affidavit. Each page of this document must be initialed. Failure to initial may result in your proposal being disqualified. To claim 20 points for specific goals, the company must meet certain ownership criteria. The successful bidder will be required to fill in and sign a written contract form (MBD 7). Quotation documents must be hand delivered in a sealed envelope to the supply chain management unit at New Hanover offices opposite police station. All quotes must be submitted on your company letterheads. This bid is subject to the preferential procurement policy framework act and the preferential procurement regulations, 2022, the general conditions of contract (GCC) and, if applicable, any other special conditions of contract. No quotes will be considered from persons in the service of the state. The proposal must be valid for at least thirty 30 days from the closing date.
