This Privacy Notice explains how BidHits collects, uses, stores, shares and protects personal information when you use our website, logged-in area, e-mail alerts, API, search tools, map, artificial intelligence features, support and related services.
The BidHits service is operated by PORTAL GENIAL SERVICOS EM TECNOLOGIA DA INFORMACAO LTDA, a company based in Brazil, CNPJ 06.098.898/0001-69, at R. Jose Formighieri, 399, Alvorada, CEP 89562-008, Videira - SC - Brazil.
For users in South Africa, we process personal information in line with the Protection of Personal Information Act, 4 of 2013 - POPIA, where applicable. Because POPIA may also protect information relating to juristic persons, references to personal information may include information about companies when the law so requires.
By using the service or creating an account, you acknowledge that your information may be processed in Brazil and in other countries where we or our service providers operate, subject to the safeguards described in this Notice.
We may collect information provided by you, such as name, company name, company registration number, VAT or tax number, e-mail address, phone number, address, billing details, payment status, support messages and information submitted in forms.
We may also collect information generated by use of the service, such as keywords, filters, regions of interest, searches, tenders viewed, favourited or removed, comments, AI interactions, API usage, preferences, access logs, IP address, device identifiers, browser, pages accessed, dates and times of use.
When card payments are available, BidHits does not store the full card number. We may store identifiers or tokenised information supplied by payment providers when needed for billing, renewal or financial control.
You must provide only information that is true, lawful and that you are authorised to provide.
We use personal information to create and manage accounts, provide access to the system, process subscriptions, payments and renewals, send tender alerts, enable searches, filters, favourites, comments, map, API, AI features and support.
We also use information to personalise results, improve tender matching, answer questions, maintain security, prevent fraud and abuse, comply with tax, accounting and legal duties, enforce our Terms of Use and defend our rights.
We may send operational e-mails related to the service, such as tender alerts, account notices, support, billing, renewal, security and important service changes.
We may send commercial communications about BidHits, offers and related content in accordance with POPIA and other applicable laws. You can opt out of promotional messages through the unsubscribe link in the e-mails or by contacting bidhits@bidhits.co.za. This does not affect operational messages needed to provide the service.
Our processing is based on grounds permitted by applicable law, including contract performance, compliance with law, consent when required, legitimate interests, protection against fraud and the exercise or defence of rights.
The BidHits may use artificial intelligence to improve searches, suggest opportunities, organise information, help read tender notices and answer user questions about procurement processes.
AI interactions may be processed by our systems or by technology providers engaged by us under confidentiality and security commitments.
AI responses are only auxiliary and informational. The user must check official portals, tender documents and original notices before making commercial, legal, technical or financial decisions.
Do not submit special personal information, confidential information, personal information of third parties without authorisation or any content that you do not want to share with BidHits for service delivery and improvement.
The BidHits does not sell personal information.
We may share information with providers needed to operate the service, such as hosting, infrastructure, security, e-mail delivery, payment processing, customer support, analytics, advertising, accounting, tax, fraud prevention, legal support and artificial intelligence tools.
These providers must process information under our instructions, applicable contracts and data protection law. Under POPIA, providers that process personal information on our behalf may act as operators.
We may also share information to comply with law, respond to competent authorities, enforce Terms of Use, investigate fraud or abuse, protect users or third parties and defend our rights.
The service may link to public tender portals and third-party websites. These external sites have their own privacy rules and are not controlled by BidHits.
Because the company is based in Brazil, personal information may be transferred to Brazil and to other countries where our providers operate. When POPIA applies, we will use a permitted basis for international transfer, such as adequate protection, binding agreement, consent, contract necessity or another basis allowed by law.
We use cookies and similar technologies to keep users logged in, remember preferences, protect accounts, measure audience, understand use of the service, improve features and, when applicable, show or measure advertising.
We may use third-party tools such as Google Analytics, Microsoft Clarity and equivalent technologies for navigation analysis, performance, heat maps, statistics and product improvement.
Information such as IP address, identifiers, pages accessed, usage events, browser, device and approximate location may be processed by these tools. When this information can identify a person or a juristic person protected by POPIA, it will be treated as personal information.
You can configure your browser to block cookies, but some features of the service may not work properly.

We keep personal information only for as long as needed to provide the service, manage accounts, send alerts, process payments, provide support, comply with legal, tax and accounting duties, maintain security, prevent fraud, resolve disputes and defend rights.
After account closure or when information is no longer needed, it may be deleted, anonymised or kept where there is a valid legal, contractual, security, audit, fraud prevention or rights defence reason.
Residual copies may remain in backups for a limited period until secure replacement or deletion.
Subject to applicable law, you may request access to your personal information, correction of inaccurate or outdated information, deletion or destruction where applicable, objection to certain processing, withdrawal of consent and opt-out from direct marketing.
You may also have the right not to be subject, in certain circumstances, to a decision based solely on automated processing that has legal or similarly significant effects.

To protect your information and avoid unauthorised access, we may ask for additional information to confirm your identity or authority to act on behalf of another person or company.
We will respond within the time limits and limits set by applicable law. Some information may be kept when required for law, contract, security, fraud prevention, audit, payment control or rights defence.

The BidHits is intended for professionals, companies and people interested in public tenders. It is not directed to children.
We do not knowingly collect personal information of children. If we identify improper collection of this information, we will delete or regularise it as required by applicable law.
The BidHits does not request special personal information, such as information about health, race or ethnic origin, political opinions, religion, biometrics, sex life, trade union membership or criminal behaviour. Please do not submit this type of information in comments, support messages or AI interactions unless there is a lawful basis and proper authorisation.
We use reasonable technical and organisational measures to protect personal information against unauthorised access, loss, destruction, alteration, disclosure or unlawful processing.
Examples may include HTTPS, access controls, monitoring, backups and measures proportional to the risks and the information involved.
No system is completely free from risk. You must protect passwords, API keys, devices and e-mail accounts, and must not share credentials.
When POPIA applies and there are reasonable grounds to believe that personal information has been accessed or acquired by an unauthorised person, we will notify the South African Information Regulator and affected data subjects as soon as reasonably possible, subject to any lawful delay. We may also notify other authorities when required by applicable law.
