This RFQ is for the appointment of an experienced Sage Evolution partner to provide ongoing technical support for the Government Fleet Management Services (GFMS) Trading Entity of the Eastern Cape Department of Transport. The support will cover implemented modules of Sage Evolution 200, including advanced procurement, fixed assets, expenditure and accounts payables management, revenue and debtors management, general ledger, budget management, contact management, basic and premium voucher management, business intelligence, and standard voucher manager. The service provider will be required to offer timely onsite and remote support, ICT support, workflow review, reporting enhancement, support for add-on modules, system cleanup and optimization, user support and training, system integration with Active Directory, automated backups, and periodic system performance reports. A maximum of 880 hours will be allocated for the duration of the contract. Bidders must be registered on the Central Supplier Database (CSD) and have a valid Sage Business Partner certification. A minimum of 3 public sector clients or projects where Sage Evolution implementation and support were performed in the past 5 years is required. The bid closes on 02 April 2026 at 11:00. Late bids will be disqualified. All completed RFQ documents must be emailed to gfmsquotations@ectransport. gov. za.

The bid notice states that payments will be made within 30 days after receipt of an invoice.
The bid notice mentions a warranty period of twelve 12 months after the goods have been delivered and accepted, or for eighteen 18 months after the date of shipment from the source country, whichever concludes earlier, unless specified otherwise.
The tender will be evaluated according to the preferential procurement model, with 80 points for price and 20 points for specific goals (black ownership, women ownership, youth ownership, and locality).
Bidders must be registered on the Central Supplier Database (CSD), possess a valid Sage Business Partner certification, and have a minimum of 3 clients or projects in the public sector where Sage Evolution implementation and support were performed in the past 5 years.
If the supplier fails to perform services within the specified periods, penalties may be deducted from the contract price, calculated on the unperformed services using the current prime interest rate for each day of delay. The department may also consider termination of the contract.
There will be no site inspection for this RFQ.
