The Maruleng Municipality is seeking a service provider for building documents maintenance functionality. Bidders must submit all required documents in a sealed envelope, clearly labeled with the RFQ number, description, and closing date, to the tender box located at the Supply Chain Department entrance inside the municipal building at 65 Springbok Street, Hoedspruit. The municipality's supply chain management policy and preferential procurement policy apply. Bids must be submitted on the provided bid documentation (MDB 1, MBD 4, MBD 6. 1, MBD 8, and MBD 9). Table 1 in MBD 6. 1 must be used to claim points for specific goals. Points claimed for disability must be substantiated with medical documentation. The municipality reserves the right to require bidders to substantiate preference claims. Emailed, faxed, and late quotations will not be considered. Quotations must be held good for 30 working days. Bidders must submit specific documentation, including company registration documents, SARS PIN number certificate, and a recent municipal statement of account. Bidders operating from rural areas must submit proof of residence. Functionality will be evaluated out of 50 points, and bidders failing to obtain 40 points will be eliminated. Bidders must submit appointment letters/orders with associated reference letters for similar services rendered. Evaluation will be done in three stages: administrative compliance, functionality, and 80/20 preference point system. The 80/20 preference point system will be used for pricing and specific goals. Additional documents and forms are required, including a declaration of interest (MBD 4), a certificate of independent bid determination (MBD 9), and a declaration of bidders past supply chain management practices (MBD 8). The closing date and time for submission is June 20, 2025, at 11:00 AM.
