Bidders must meet mandatory criteria including valid SARS tax pin, B-BBEE affidavit, CSD registration, CIPC documents, and SBD forms: bidders that do not meet the set mandatory criteria will be eliminated from further evaluation process.

Penalties apply for late delivery: the purchaser shall. . . deduct from the contract price, as a penalty, a sum calculated on the delivered price of the delayed goods. . . using the current prime interest rate calculated for each day of the delay.

Bidders must complete Schedule A, Annexure A, submit a brochure, bill of materials, and local content declarations. the following documents need to be submitted to the electoral commission by bid closure, with the company name and auction details on the envelope

If delivery schedules are not met, the Electoral Commission may appoint an alternative bidder and extra costs will be for the defaulting bidder's account. any extra costs incurred by the electoral commission in obtaining such corrective services or products from another source will be for the account of the defaulting bidder.

The Electoral Commission reserves the right to inspect samples, and successful bidders must provide a pre-production mock sample for SABS conformance testing. the provision of a preproduction mock sample of the required items, for conformance testing by the sabs before an official order is issued.

Failure to complete Schedule A or Annexure A, or not being able to provide service at all listed locations, will invalidate the bid. failure to complete and return or not being able to provide a service at all these locations will invalidate your bid

Invoices must comply with section 204 of the VAT Act; failure to comply will result in payments not been made timeously.

The 80/20 preference point system is used: points price 80 20 10 bbbee and 10 specific goals locality.

Tenderers must submit original or originally certified bbbee certificate or affidavit and locality proof including municipal account, lease agreement or affidavit.

A score of 0 zero will be allocated if compulsory documents not duly completed and signed and if insufficient proof submitted at the closing time and date.
