This is an invitation to bid for the appointment of an event management services provider for the coordination of the Student Representative Council (SRC) Freshers Bash 2026. The event is scheduled for 11 April 2026. Bidders are required to submit their bids by 8 April 2026 at 10:00. A compulsory briefing session will be held on 31 March 2026 at 12:00 in the SRC boardroom at Sefako Makgatho Health Science University. The scope of work includes event conceptualization, logistics, entertainment, health and safety, marketing, and post-event services. Mandatory requirements include business registration, proof of identity, tax compliance, insurance, CSD report, and COIDA. The evaluation will be based on functionality (company experience, sound engineer, project implementation plan, safety officer, presentation) and then price and BBEEE. Bids must be submitted in a sealed envelope to the specified address. Late bids will not be accepted. Bid validity is 90 days.
The bid documents must be placed in the bid box at the address indicated below. Bidders should ensure that bids are delivered on time to the correct address. Late bids will not be accepted for consideration. The closing date is Wednesday, 8 April 2026, at 10:00.
The bidder obtaining the highest points will be awarded the bid. Preference points shall be calculated after prices have been brought to a comparative basis considering all factors of non-firm prices and all unconditional discounts. Points scored will be rounded off to two decimal places. In the event that two or more bids have scored equal total points or provide the same bid, the successful bid must be the one scoring the highest number of preference points for B-BBEE. If the B-BBEE points are equal, the bidder scoring the highest points on functionality will be the preferred bidder. Should two or more bids be equal in all respects, the drawing of lots shall decide the award.
Stage 1: Mandatory Requirements. The following should be submitted as prequalification and mandatory compliance documents. Failure to submit any of the listed valid documents may disqualify your bid: Business registration certificate, copies of identity documents of all directors/trustees/members/shareholders, resolution of directors' authority to sign, proof of tax compliance status, proof of business residential address, public liability insurance of R5 million or a letter of intent, proof of the most recent Central Supplier Database (CSD) report, valid letter of good standing COIDA or a valid COIDA certificate or tender letter.
